Vehicle Compliance

Vehicle compliance software for every unit in the fleet

Track registration, insurance, and the annual inspection for each commercial motor vehicle, with maintenance records and expiration alerts, so every unit stays legal and roadworthy under 49 CFR Part 396.

Every unit's compliance status, in one view

A fleet's vehicles each carry their own set of expiring documents: registration, insurance, and the annual inspection, on top of routine maintenance. When those live on a whiteboard or a spreadsheet, a lapsed registration or an overdue inspection is easy to miss until a roadside stop finds it. TruckFlow gives every unit a record with a color-coded status, so the vehicles that need attention are obvious before they're a problem.

Registration & credentials

Keep each unit's registration, including the apportioned (IRP) cab card, plate, and where applicable the IFTA license, on file with its renewal date. The expiration is tracked and surfaced ahead of time, so a unit isn't dispatched on lapsed credentials.

Insurance & financial responsibility

Store proof of insurance and financial responsibility under 49 CFR Part 387, including the policy and any Form MCS-90 endorsement, against the fleet or the unit. The policy's expiration is tracked alongside the vehicle's other records.

Annual (periodic) inspection

Under 49 CFR 396.17, every commercial motor vehicle must pass a periodic inspection at least every 12 months. TruckFlow records each unit's annual inspection (PAI) date, stores the inspection report, and flags the unit as the next one comes due.

Maintenance & roadworthiness

Vehicle compliance doesn't stop at credentials. Each unit links to its maintenance history: the systematic inspection, repair, and maintenance records required under 49 CFR 396.3, so the documentation of a roadworthy fleet stays together.

TruckFlow organizes the vehicle records your operation is responsible for under 49 CFR Part 396 and Part 387. It tracks dates and stores documents; it does not perform inspections or determine a vehicle's roadworthiness.

FAQ

Vehicle compliance questions

What is vehicle compliance for a trucking fleet?

It's keeping each commercial motor vehicle's required records current: registration, proof of insurance or financial responsibility, the annual (periodic) inspection under 49 CFR 396.17, and ongoing maintenance records under 49 CFR 396.3, so every unit is legal and roadworthy.

How often must a commercial vehicle be inspected?

Under 49 CFR 396.17, every commercial motor vehicle must pass a periodic (annual) inspection at least once every 12 months. The documentation of that inspection must be retained and available for review.

What vehicle records does a DOT audit review?

An audit commonly reviews registration, proof of insurance or financial responsibility under 49 CFR Part 387, the most recent annual inspection report, and the systematic maintenance and repair records required under 49 CFR 396.3. TruckFlow keeps these organized per unit.

Does TruckFlow track maintenance too?

Yes. Each unit links to its maintenance history, including preventive maintenance and repairs. See Fleet Maintenance Tracking (in Related solutions below) for how service intervals, DVIRs, and repair records are kept.
